NiwasConnect · Dehradun, Uttarakhand, India · last updated July 2026

1. Who we are

NiwasConnect is the Data Fiduciary for the personal data described in this policy. We are based in Dehradun, Uttarakhand, India.

This policy is written to meet the Digital Personal Data Protection Act, 2023 and the DPDP Rules, 2025.

2. What we collect

From you: your name, mobile number, and email address if you provide one; the property details you enter (state, district, tehsil, village, pargana, plot and account numbers, and any recorded owner name you give us); your property type selections; and any document you choose to upload.

Automatically: payment confirmation data from our payment gateway (we never receive or store your card or banking credentials), and basic technical logs needed to operate and secure the service.

We do not ask for, and you should not send us, a seller's PAN, Aadhaar or other identity documents. We have deliberately built no field to hold them.

3. Third-party data inside government records

A land record is a public government record and routinely contains the names, parentage and sometimes addresses of people who are not our customers. We retrieve such a record only for a specific paid case, store it against that case, and do not reuse it to answer a different customer's request.

We do not build profiles of individuals and we do not offer any people-search facility.

4. Why we use it, and on what basis

To deliver the service you paid for; to contact you about your order; to meet legal, tax and accounting obligations; and to keep an internal audit trail of who retrieved and edited a record, which is part of the chain-of-custody service itself.

We process your data on the basis of the consent you give when placing an order, and where applicable for compliance with law.

5. Who can see your data

Our team members who fulfil orders see only the property details needed to run a portal lookup. They do not see your name, phone number or email address; this restriction is enforced by our systems, not merely by policy.

Where you request an advocate-reviewed report, we share what is necessary with the advocate you are introduced to.

We use service providers for hosting, payments and email. We do not sell your personal data, and we do not share it for advertising.

6. How long we keep it

We keep case and record data for as long as needed to deliver and support the service, and thereafter for the period required by tax and accounting law. Invoice and transaction records must be retained under GST law, so complete deletion of every trace is neither possible nor lawful.

We may retain anonymised, aggregated insights that cannot identify you or any individual.

7. Your rights

You may ask us for information about the personal data we hold about you; ask us to correct or update it; ask us to erase it, subject to the retention obligations above; nominate another person to exercise your rights if you die or become incapacitated; and withdraw your consent at any time, with effect from the withdrawal.

To exercise any of these, contact our Grievance Officer below. We will acknowledge your request promptly and respond within the timelines required by law.

8. Security and breaches

We apply reasonable technical and organisational safeguards, including role-based access, restriction of customer contact details from fulfilment staff, and an audit log of changes.

If a personal data breach occurs, we will notify the Data Protection Board of India and affected individuals as required by law.

9. Children

Our service is not directed at children and we do not knowingly process the personal data of anyone under 18.

10. Grievance Officer

Under the DPDP Act you may raise any complaint about how we handle your personal data with our Grievance Officer: The Grievance Officer, NiwasConnect, connectniwas@gmail.com.

If you are not satisfied with our response, you may escalate the matter to the Data Protection Board of India.
